How Kende Systems LLC handles information you give us through this website.

About this policy
This is written in plain English and describes how Kende Systems actually operates — including how we handle calls, recordings, and text messages. It is current as of August 6, 2026 and we update it whenever our practices change. It describes our practices and is not legal advice. If anything here is unclear, or matters to a decision you are making, contact us and we will answer it directly.
Who we are
Kende Systems LLC (“we”, “us”) is a limited liability company registered in Oklahoma and based in Perry, Oklahoma. We build AI voice agents that answer phone calls for small service businesses in Oklahoma and Kansas. We work remotely and have no premises open to the public.
This policy covers the kendesystems.com website. Information handled on behalf of a client under a signed service agreement is governed by that agreement, not by this page.
What we collect
Information you give us
When you submit the quote form or the contact form, we collect:
- Your name
- Your business name
- Your phone number
- Your email address
- On the quote form: your industry, number of locations, current phone provider, and approximate weekly call volume
- Anything you type into the free-text message field
- The fact that you ticked the consent box, and when
We also record the browser user-agent string and which form the submission came from, so we can tell a real inquiry from a broken one.
Information collected automatically
- IP address. Used only to rate-limit form submissions so the forms cannot be flooded. We do not store your raw IP address. It is converted into a keyed one-way hash, held for up to 24 hours, and then deleted. The hash is not stored alongside your inquiry and cannot be linked back to it.
- Analytics. We use Vercel Analytics to count page views and measure which buttons get used. It does not use cookies, does not build a profile of you, and does not receive your name, email or phone number.
- Bot protection. Cloudflare Turnstile checks that a submission comes from a person rather than a script. Cloudflare receives technical signals from your browser as part of that check.
Calls to our demo number
The demo number published on this site is answered by our own AI agent. Like the service we provide to clients, calls to that number may be recorded and transcribed so we can improve how the agent handles real conversations. If you would rather not be recorded, please email us instead of calling. Caller recordings are treated as confidential and are not sold or shared for marketing.
How we use it
- To prepare and send you a quote
- To reply to your inquiry by phone or email
- To prepare the call-forwarding setup guide for your specific provider
- To keep a record that you consented to be contacted
- To protect the forms from spam and abuse
- To understand which parts of the site are useful, in aggregate
We contact you about the inquiry you submitted. We do not add you to a marketing list without asking you separately, and we do not send automated marketing calls or texts on the basis of this form alone.
SMS and text messaging
If you consent during a phone call, we may send you text messages relating to your inquiry — confirmation that we received your call, the setup form you asked for on that call, and follow-up about the inquiry you started. We do not send promotional or marketing texts.
Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out. Reply HELP for assistance.
Consent is given by you — either verbally on a recorded call you placed to us, or by checking the SMS consent box on our onboarding form. It is stored with a timestamp and a reference to the call it came from. We do not buy, rent, or import contact lists, and we never message a number that did not ask us to.
You can withdraw consent at any time by replying STOP to any message, or by any other reasonable means — telling us on a call, emailing us, or calling us. We honor it however it reaches us.
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who provide support services, such as our messaging provider, is permitted solely so that we can deliver the messages you asked for. All other categories exclude text messaging originator opt-in data and consent; this information is not shared with any third party.
What we do not do
- We do not sell your personal information.
- We do not share it with advertisers or data brokers.
- We do not use it to build advertising profiles.
- We do not share mobile opt-in data or consent with third parties for marketing.
Who else processes your information
We use a small number of established service providers. Each receives only what it needs to do its job, and each processes data on our instructions. All are based in, or store data in, the United States.
- Supabase — hosts the database where form submissions are stored.
- Resend — delivers the notification email that tells us a new inquiry has arrived. That email contains the details you submitted.
- Cloudflare — provides the Turnstile bot check on our forms.
- Twilio — carries the phone calls to our number and delivers any text messages you have consented to receive.
- Vercel — hosts this website and provides the analytics described above.
We may also disclose information where we are legally required to, or where it is necessary to establish or defend a legal claim.
How long we keep it
- Inquiries that do not become clients: kept for up to 24 months, so we can pick up the conversation if you come back to us, then deleted.
- Inquiries that become clients: retained for the life of the working relationship and afterwards for as long as we need them for tax, accounting and legal purposes.
- Rate-limiting hashes: deleted automatically after 24 hours.
- Notification emails: subject to the retention settings of our email account.
You can ask us to delete your information sooner. See below.
How we protect it
- The site is served over HTTPS and enforces it.
- Form submissions are written only by our own server. The database denies all access by default, and no browser-side credential can read, write or delete a stored inquiry.
- Every field is validated and cleaned on our server before it is stored.
- Access to the stored data is limited to people who need it to answer your inquiry.
No system is perfectly secure, and we will not claim otherwise. If we become aware of a breach affecting your information, we will act on it and notify you where we are required to.
Your choices
You can ask us at any time to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete your inquiry
- Stop contacting you
Email lazrua@kendesystems.com and say what you would like. We will confirm your identity before acting on a request about personal information, and we will respond within 30 days. There is no charge.
Children
This is a business-to-business service. It is not directed at children, and we do not knowingly collect information from anyone under 18. If you believe a child has submitted information to us, email us and we will delete it.
Changes to this policy
If we change how we handle information, we will update this page and change the “last updated” date at the top. Material changes will be described here rather than made quietly.
